Clients asked the same questions every week. Every answer was sitting in Zoho. So I gave each client a window into it.

Most of what clients sent us was the same question in different words. Where is my order. What did we agree. Did that invoice go out.

Every answer already existed in Zoho. It was just locked inside our tools, so someone had to look it up and type it back out. And sourcing orders run for months, so the same client asked again the next week.

Give them the window, not the answer

I built a portal on live Zoho data. Each client logs in and sees their own records and nobody else's: orders, landed costs, QC reports, documents and invoices, for the whole life of an order.

  • Logins provision themselves from the CRM contact record, so onboarding a client is not a separate job.
  • Call history comes through with transcripts, and email threads come from the CRM.
  • After delivery, a 14-day window opens for defect reports with photos, with reminders and automatic close-out.

An AI that only knows your account

The portal has an Ask AI tab. It answers questions using only that client's own orders, invoices, calls and emails. It cannot see anyone else's, and it does not guess beyond what is on the record.

The best support reply is the one the client never had to ask for.

What changed

Clients check the answer themselves instead of emailing for it. The team stopped looking things up in Zoho and typing them back out. The questions we used to answer by hand went to zero, and client retention went up 40%.
