Standardized Bizeebay Operations

No SOPs, no project management system, and no reports going to clients. I built all three.

The problem

When I joined Bizeebay there were no SOPs. Not for website development, not for SEO, not for anything else the agency sold.

Operations and client communication ran on email. There was no project management system.

Nobody could say how long a website should take, what the steps were, or at which step we needed to go back to the client for input.

Clients got no reports either. There were no templates for SEO reporting or anything else.

What I built

I created clear SOPs for website development, SEO, automations and the other services we sold, so the work was easier to deliver and easier to track.

Each SOP lists the steps in order, how long each step takes, and where the client has to give input or approve.

I moved operations into ClickUp. Project flows, handoffs and the communication with our SEO partner all run there instead of over email.

I built a client portal for reporting and updates, so clients can see where their work is without asking.

On the build side I moved the team off templates and onto custom builds.

I did all of this myself.

How it works

  • One SOP per service: website development, SEO, automations and the rest.
  • Every step has an order and a time it should take.
  • The SOP names the steps where we stop and get the client’s input.
  • Projects run in ClickUp, not in an email thread.
  • The SEO partner works inside the same system as the rest of the team.
  • The client portal sends the reports and the updates.
  • Custom builds instead of theme configuration.

What changed

Clients stayed about three times longer than they used to.

The company could charge more for the same services. Websites went from $1k to $5k and $12k builds. SEO went from a $2.5k engagement to a $4.5k monthly retainer.

Delivery stopped depending on who was free that week. Jordan, the founder, had been doing nearly all of it himself, and this took it off him.

Once everything was standardized we could hire. A new person follows the SOP instead of shadowing whoever already knows the job.

I joined as a website developer, moved into project management, and took over as CTO. We sold the company in November 2025.
