The whole operation lived in Drive folders and chat. I gave every video one record and built the system around it.
The problem
Source With Jordan is Jordan Lewis’s brand. Real factories, real products, real interviews, all filmed by him.
Everything after the filming was spread across Drive folders, chat messages and someone’s memory. A video was a file in a folder and nothing else.
There was no way to find a video. If you wanted the clip of a specific factory or product you scrolled folders, because nothing could be searched by keyword.
Review requests had nowhere to live. Someone asked for a change and there was no record of what was asked or whether it got done.
Nothing tracked what had gone out. Posted and pending looked exactly the same.
Captions had no home either. There was no way to assign a caption, a cover or a date to a video, and no way to see which of those were still missing.
The clips of a video were not linked to the video. The raw cut, the no-captions cut and the finished post were three files in three places.
Nothing synced. The plan said one thing, Drive said another and the account said a third.
And in the automations nobody could tell which supplier a video belonged to, so a reel could not be tied back to the factory it was filmed at.
What I built
I gave every video one record and hung everything off it: the files, the cuts, the cover, the caption, the status and the date.
I built the Content Calendar to put the plan and the media in the same view. Tasks on one side, the Drive files on the other, across grid, calendar and schedule views for 300+ posts.
I built the Carousel Post Builder for making and reviewing the posts, with a board where the team requests a change on a specific slide instead of describing it in chat.
I made the sync two-way, so the board and the planner cannot disagree about what is approved or what is posted.
I made it find the right cut on its own. It walks up the Drive folder tree for the no-captions version, and pulls a true first frame with ffmpeg when Drive gives no usable thumbnail.
I flagged the gaps on every post: missing cover, missing video, missing caption, missing date. They show up in the plan instead of on posting day.
I mapped every reel to the supplier it was filmed at, from the fixed list of factories we actually work with, and wrote that link back onto the supplier record.
I sent the leads the posts bring in into a list instead of leaving them in the DMs.
How it works
- One record per video. The plan, the files, the caption, the cover, the status and the date all sit on it.
- Tasks come from ClickUp, media comes from Google Drive, and the two are joined in one view.
- Grid, calendar and schedule views over 300+ posts, and posts drag to reschedule.
- Every post flags what is missing: cover, video, caption or date.
- The no-captions cut is found by walking up the Drive folder tree, so the clips stay attached to the video they came from.
- Thumbnails are real first frames pulled with ffmpeg when Drive has nothing usable.
- Review runs on a board, with change requests against the specific post or slide.
- Approvals, change notes and mark-as-posted sync both ways with ClickUp.
- Every reel is matched to the supplier it features, and that link is written back to the supplier’s own record.
- Inbound from the posts goes into a list instead of the DMs.
What changed
A video is something you search for now, not something you scroll folders for.
Posted and pending are two different states you can see, and a review request is a tracked item instead of a message.
Every clip is attached to the video it came from, and every reel points at the supplier it was filmed at.
The account went from 700 followers to 99k. It passed 80k inside the first five months.
Inbound went from nothing to hundreds of leads a day, which is the volume that carried the business past $100k a month.
